FAQ and proposal clinic
Short answers to the questions applicants ask most often, and the clinic schedule for asking our team directly.
Eligibility
Who can apply for a regular grant?
Non-profit organizations based in one of the five priority landscapes with at least 1 year of experience: NGOs, community-based organizations and producer groups, women's groups, traditional institutions, youth groups, organizations of persons with disabilities, and cooperatives and BUMDes.
Where are the five OP8 priority landscapes?
Buleleng Regency (Bali), East Lombok Regency (NTB), West Coast Komodo National Park Buffer Zone (NTT), Upper Krueng Peusangan Watershed (Aceh), and Upper Meratus Hulu Sungai Selatan (South Kalimantan). View landscape profile →
Our organization is outside the 5 landscapes. Can we still apply?
For regular grant calls, applicants must be based in one of the 5 landscapes; there is an option outside the landscapes (*Information to follow).
National NGOs, expert networks, or academic consortia that want to strengthen communities in the landscapes can join the strategic partner track.
Can groups without legal entity status apply?
Yes, with a letter stating that the establishment process is under way, in place of a registration certificate. Or a decree approved by the relevant Government Agency.
Can individuals apply?
No. Grants are only for non-profit organizations. Individuals can be involved as members or officers of the applicant organization.
We received an SGP grant in a previous phase. May we apply again?
In OP8, each organization can receive only one SGP grant. Rules for grantees from previous phases (OP7 or earlier) follow the call guidelines.
Application
How do I submit a proposal?
All proposals are submitted through the SGP Portal while a call is open. Every call is open for at least 2 weeks, longer for remote communities. See the nine application steps →
What documents do I need to prepare?
Complete proposal through the SGP Portal form; proof of institutional registration or a letter of establishment in progress; a letter of support or recommendation from the government or a development partner; and the budget and co-financing plan according to tier. Additional documents, if any, are listed on each call's page.
Can we submit more than one proposal?
No. One organization may submit only one proposal per call, and can receive only one grant during OP8.
We don't have a stable internet connection. What can we do?
An offline track is available: paper forms, voice recordings, or video, with support from the National Coordinator. This track is also open to applicants with disabilities or language barriers. The content and documents required remain the same.
Can a proposal be changed after submission?
It cannot be changed, but applicants can withdraw and delete the proposal and resubmit before the deadline.
Assessment
How are proposals selected?
First, eligibility pre-screening against 11 minimum requirements by the YBUL National Coordinator; failing any one requirement means the proposal does not proceed. Proposals that pass are assessed by the technical team, then the NSC scores them using a 100-point matrix.
Who decides the grant recipients?
The National Steering Committee (NSC), by consensus. Members with a conflict of interest regarding a proposal leave the discussion of that proposal.
Will we be notified if our proposal is not selected?
Yes. All applicants receive written results along with the reasons, including those who do not pass pre-screening.
What is social and environmental screening?
Every proposal is screened for social and environmental risks using the SESP procedure under the FAO framework. The result determines the risk classification and management measures listed in the MoA.
Finance
What are the grant amount and project duration?
Regular grants up to USD 75,000 for projects up to 24 months. Strategic partner grants up to USD 150,000. See grant types →
Must co-financing be in cash?
No. Co-financing equal to the grant amount (1:1) may be cash and/or in-kind such as labor, land, materials, or equipment. The cash portion adjusts to the financial capacity tier. Women's groups, Indigenous Peoples, youth, persons with disabilities, and organizations with capacity below USD 5,000 may receive relief.
What is the administrative cost limit?
Indirect costs up to 10% of the grant amount.
Can grant funds be channeled to other organizations?
No. Grantees carry out their own projects and do not pass funds to other parties as sub-grants.
How are funds disbursed?
At least 4 stages. The first after the MoA is signed; subsequent stages after a progress report, a Statement of Expenditure showing at least 80% of the previous funds spent, and NSC approval. There are no automatic disbursements.
Implementation
When can projects involving Indigenous Peoples begin?
After written FPIC consent has been obtained, in the community's language, at least 30 days after the first consultation.
Who provides support while the project is running?
Landscape facilitators and YBUL National Coordinators, with support from strategic partners for training and technical assistance. Monitoring visits are carried out during and at the end of the project.
Where do I report suspected violations?
Through grievance mechanism (GRM). Reports can be submitted anonymously.
